Late Cancellation & Failed Attendance Policy

At Chapman Dental Solutions, we value your time and ours. To maintain an efficient appointment system and keep waiting lists down, we have outlined our Late Cancellation and Failed Attendance Policy below.

Why We Require 24 Hours’ Notice

Cancelling or rescheduling an appointment with less than 24 hours’ notice often prevents us from offering that time to another patient, leading to lost treatment time. This loss can result in increased charges for all patients. Providing at least 24 hours’ notice helps us minimize wasted time and keep costs down.

Our Cancellation Policy

We kindly request at least 24 hours’ notice if you need to cancel, move, or change your appointment. This policy is clearly displayed in our waiting area and on all appointment cards.

If you cancel with less than 24 hours’ notice:

  • A fee of £1 per minute of your appointment duration will be added to your account.

  • This charge reflects our basic running costs and helps to offset lost time, support our team, and avoid unnecessary price increases.

Failed Attendance Policy

If you fail to attend your appointment without any notice, the same charge of £1 per minute of appointment time will apply.

Please note that any late cancellation or failed attendance fees must be paid before scheduling future appointments.

Exceptional Circumstances

We understand that unforeseen circumstances can arise. If you need us to consider an exceptional situation, please write to us within 7 days of the missed appointment, including any supporting evidence. While all fees must be paid upfront, we will review your case individually and inform you of the outcome within 28 days. If necessary, we will refund any credited fees.
